Office Support and Clerk Lines Merging

As some of you may have already heard, the Office Support and Clerk lines are merging; this change is effective May 1, 2019.

We know folks will have a lot of questions about the merger so we’ve put together a FAQ. There’s a lot of information below but if you have a question we didn’t cover, feel free to email us.

  1. Q: Is my job going to change?
    A: No. Your present job duties will not change.
  2. Q: What will my title be after the lines are merged?
    A: All titles will change to the Office Support line. If your title is changing, you will receive an email notification of the change in title (CIT) on May 1.

    • Clerical Assistant = Office Support Assistant
    • Clerk = Office Support Associate
    • Chief Clerk = Office Support Specialist
    • Staff Clerk = Office Manager
  3. Q: What will happen with current job audits?
    A: No audits for Clerk or Office Support lines will be conducted between April 8th and May 3rd.
    Audits currently in progress must be completed before April 5th.
  4. Q: What happens to my place on the register?
    A: The current registers will be voided effective April 30th. This means that you must re-test to have a score on the register.
    State University Civil Service System (SUCSS) requires a 30 day voiding notice. Applicants on the Clerk and Office Support series registers should have received a notice on March 14.
  5. Q: What will happen to my place on the transfer list?
    A: The transfer list for the Clerk and Office Support lines will be cleared. Employees on the transfer list in these lines will be notified via email on April 1.
  6. Q: What are the tests going to be like?
    A: We are waiting for more information but assume that the tests will be updated and contain questions that combine aspects reflecting the combined titles.
  7. Q: What will the testing process be?
    A: Exam requests for the new Office Support series will be accepted beginning April 22. Testing will be scheduled after May 1. Office Support Assistant, Associate, Specialist, and Manager will return to “open and continuous” postings on April 22.
  8. Q: Will my seniority change?
    A: It’s possible that some slight shifts in seniority as the lines merge but the changes are expected to be minor.
